Manager, HR Operations

As an integral member of our HR team, you will be focused on supporting the strategy and driving tactical execution of our HR Operations, with the goal of creating a best-in-class employee experience and differentiated culture.  You will be responsible for day-to-day support of our growing employees, as well as management of HR systems and processes, including HRIS, payroll, benefits and performance management systems. Your role will be central in helping our organization scale for growth, by supporting our HR operations activities, developing processes and programs, and driving continuous improvement in all key talent areas, including Total Rewards, Talent Management, Compliance, Onboarding, Culture, Engagement, Employee Relations & Talent Acquisition.

Let’s talk about some of the key responsibilities of the role:

  • Manages all HR Operational and HRIS related processes, transactions and activities, including payroll and benefits, through our external partners - to ensure a positive employee experience at all phases of the employee life cycle.
  • First-line resource to employees for onboarding, benefits, payroll, leaves of absences, and other key talent programs, working closely and managing our external partners to ensure an optimal employee experience and superior customer service.
  • Ensures appropriate and effective employee-related processes, benefits, policies and programs to maintain compliance federal, state, and local requirements, while providing flexibility for the organization to pivot and scale.
  • Builds out detailed and comprehensive workflow and processes for key HR processes, communications, materials, and resources to drive a best-in-class employee experience for all Tarsans
  • Manages, coordinates and executes key employee lifecycle points including recruitment, onboarding, time off and leaves of absence, employee relations, benefits enrollment, ongoing engagement and offboarding.
  • Understands and drives effective usage, integration, and coordination of HR and enterprise tools and systems.
  • Assists with the implementation of new systems and process 
  • Uses a data driven approach to identify improvements, new tools and ideas to improve existing processes, including opportunities to automate tasks and establish scalable solutions to empower our HR function to efficiently support the business and the employee experience.
  • Organizes, leads, and coordinates projects and change management, using sound problem solving, while working with colleagues and/or external consultants regarding project deliverables, roles, resource requirements, timelines and costs.
  • Effectively manages employee relations issues as they arise, ensuring positive employee and organization outcomes and legal compliance.
  • Supports development and drives communication of materials to provide updates, analytics and metrics to all levels of organization including executive team.
  • Develops a deep understanding of the business to ensure HR programs and systems best support employee and business needs.
  • As part of a growing start up, ability to take on other duties and responsibilities as needed and assigned.

Factors for Success:

  • Bachelor’s degree in Human Resources, Business Administration, Industrial/Organizational Psychology or other related discipline or equivalent knowledge and experience required. Master’s Degree is a plus.
  • 5 years of experience in HR, with at least 3 years supporting HR operations and/or HR Shared Services.
  • Strong knowledge of legal and employment compliance matters as they relate to internal audit and controls, employee related policies and procedures.
  • Successful experience in management of various HR systems (i.e., HRIS, payroll, benefits, performance management, etc.)
  • Excellent project management skills with an ability to efficiently manage multiple programs, projects and tasks; highly organized with a systematic approach to accomplishing project deliverables and measuring success tied to business results and employee experience.
  • Strong problem-solving experience and capabilities, with a sense of urgency and prioritization in a fast-paced environment.
  • Innovative mindset, with an ability to develop and implement creative solutions to both HR programs and business problems.
  • Curious mindset with an interest in always continuing to learn and grow. Energized by feedback and works to iterate toward improved success.
  • Proven ability to escalate difficult issues and make tough decisions.
  • Self-motivated and able to take initiative to support an evolving high growth organization.
  • Excellent written and verbal communication skills, with experience communicating at all levels of the organization and ability to provide clear guidance and direction to employees.
  • Strong interpersonal skills with the ability to effectively build relationships with employees and vendors.
  • Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint) and HRIS and HR systems, and an ability to leverage technology to automate and maximize processes and efficiency.
  • Previous pharmaceutical/biotech experience preferred.

  • The position will be based in our beautiful Irvine office, complete with a courtyard, table tennis, snacks and drinks, occasional catered meals, and pet-days.
  • This position reports directly to the HR Director, while working closely with all members of HR Leadership.
